Alternate Units of Measure in Tally Prime: Setup Guide
Alternate Units of Measure in Tally Prime: Setup Guide
Selling items in both wholesale (Boxes, Cartons) and retail (Pieces, Packets) requires alternate units of measure. Learn how to configure conversions in Tally.
Who is this for: Tally Setup Docs
In inventory management, stocking products in one unit but buying or selling them in another is a common requirement. For example, a wholesale merchant might purchase biscuits in Cartons but sell them in individual Packets. Tally Prime's Alternate Units feature allows you to define conversion factors (e.g. 1 Carton = 24 Packets) to automate stock tracking.
Understanding Base Unit vs. Alternate Unit
Before starting, understand Tally's unit hierarchy:
- Base Unit (Primary Unit): The lowest unit in which you track or sell individual items (e.g. `PCS` or `NOS`).
- Alternate Unit: The secondary unit used for bulk transactions (e.g. `BOX` or `CTN`).
- Conversion Factor: The mathematical relationship between the two (e.g. `12 PCS = 1 BOX`).
Step-by-Step: Configuring Alternate Units in Tally Prime
To set up conversion factors for a stock item:
Step A: Enable Alternate Units
- Go to Gateway of Tally > Create > Stock Item (or Alter an existing item).
- Press F12 (Configure) on the stock item screen.
- Set Use Alternate Units to Yes. Press Ctrl+A to save.
Step B: Define the Units & Conversion Rate
- Under the **Units** field, select your Base Unit (e.g. `NOS`).
- Under the new **Alternate Unit** field, select your bulk unit (e.g. `BOX`).
- In the **Where** field, enter the conversion factor:
1 BOX = 12 NOS
- Press Ctrl+A to save the stock item.
Example Sales Invoice Entry
When creating a sales invoice:
- If you enter quantity as 5 BOX, Tally will automatically calculate and display the stock deduction as `5 BOX (60 NOS)` in your invoice and ledger records.
- If you enter quantity as 30 NOS, Tally will record it as `2.5 BOX (30 NOS)`.
