How to Automate WooCommerce Sales Imports to Tally Prime

For WordPress-based e-commerce stores, managing accounting for daily transaction files can be time-consuming. Recording WooCommerce sales, customer profiles, shipping fees, and GST tax codes manually often leads to ledger errors.

This guide provides a step-by-step procedure to connect WooCommerce orders with Tally Prime. Let's look at how to set up your integration.


1. Setting Up WooCommerce REST API Keys

To enable external applications to pull transaction data from WooCommerce securely:

  1. Log in to your WordPress Dashboard and navigate to **WooCommerce > Settings > Advanced**.
  2. Click the **REST API** tab, then click **Create an API Key** (or Add Key).
  3. Enter a description (e.g., "Tally Integration Sync"), select a user profile, and set Permissions to **Read/Write**.
  4. Click **Generate API Key**. Copy the **Consumer Key** and **Consumer Secret** to a secure file.

2. Configuring Tax and Clearing Ledgers in Tally

To ensure tax calculations and payouts reconcile correctly in Tally Prime:

Step 1: Setup Sales and Expense Ledgers

  • "WooCommerce Sales Account" under **Sales Accounts** (with GST enabled).
  • "WooCommerce Shipping Charges" under **Indirect Incomes** (applicable for GST).
  • "WooCommerce Discounts" under **Indirect Expenses** (to map coupon deductions).

Step 2: Setup Payment Gateway Clearing Ledgers

Create a clearing ledger (e.g., "Razorpay Clearing Account" or "Stripe Clearing Account") under **Current Assets**. When WooCommerce orders are imported, debit the clearing ledger for the gross transaction amount.

When payouts are received in your corporate bank account, record a receipt voucher transferring the balance from the clearing ledger to your bank account, mapping any processing fees.

3. Mapping WordPress SKUs to Tally Items

Ensure product SKUs match in both systems to maintain accurate inventory levels:

Go to **Gateway of Tally > Alter > Stock Item**. Select the item and input the WordPress product SKU in the **Alias** field. If you sell variations (like sizes or colors), define each variation as a separate stock item in Tally, mapping their respective SKUs as aliases.

This allows Tally Prime to deduct the correct items from stock when the WooCommerce sales order XML is imported.
