How to Set Up Shopify to Tally Prime Integration
How to Set Up Shopify to Tally Prime Integration
SOP for exporting Shopify orders, mapping sales ledgers, configuring GST details, and syncing SKU inventory levels.
Who is this for: E-commerce Accounting
Running a Shopify store in India requires managing high transaction volumes while ensuring tax compliance. Booking daily sales, tracking inventory, and calculating GST manually can quickly become overwhelming.
This guide provides steps to integrate Shopify sales and inventory data with Tally Prime. Let's look at how to set up your integration step-by-step.
1. Accounting Challenges in E-Commerce Sales
E-commerce sales differ from standard retail transactions because they involve:
- Multi-State Tax Calculations: Applying IGST for out-of-state deliveries and CGST/SGST for local shipments based on pincodes.
- Discounts and Shipping Adjustments: Mapping coupon codes, promotional write-offs, and shipping charges to correct expense ledgers.
- SKU Sync: Deducting inventory levels for variable items (like sizes or colors) accurately.
2. Steps to Map Shopify CSVs to Tally Prime
To import Shopify order reports into Tally Prime using default Excel Mapping Templates:
Step 1: Download Orders CSV
Log in to your Shopify Admin Panel, navigate to **Orders**, select the date range, and click **Export**. Choose **CSV format** to download the transaction list.
Step 2: Create Sales Ledgers in Tally
Create the required ledger accounts in Tally Prime:
- "Shopify Sales Account" under **Sales Accounts** (with GST enabled).
- "Shipping Income" under **Indirect Incomes** (applicable for GST).
- "Shopify Discounts" under **Indirect Expenses** (to map coupon deductions).
Step 3: Define Item Aliases
Ensure Tally matches Shopify SKUs during import:
- Go to **Gateway of Tally > Alter > Stock Item** and select a product.
- In the **Alias** field, type the exact SKU code used in your Shopify store (e.g., "TSHIRT-BLUE-L").
- Save the item. This enables Tally to identify and deduct inventory levels during imports.
Step 4: Build the Mapping Template
- In Tally Prime, press **Alt + O (Import) > Manage > Mapping Templates > Create**.
- Select the Shopify CSV as the source file.
- Map the columns: Column "Name" (Shopify Order ID) to Tally Voucher Number, "Created at" to Voucher Date, "Total" to Gross Amount, and "Lineitem price" to Stock Item rate.
- Save the template, select **Import > Transactions**, and run the file upload.
3. TCS and TDS Compliance for Sellers
If you sell through marketplace programs (like Shopify Markets), ensure you account for:
- GST TCS (1%): Tax collected at source by e-commerce operators, booked under "GST TCS Receivable".
- Section 194-O TDS (0.1%): Income tax deducted on payouts, booked under "TDS Receivable u/s 194-O".
