CaptainBiz is a popular GST billing and inventory management solution for small businesses in India. As companies grow and their accounting needs become more complex, many transition to Tally Prime for comprehensive financial management.
This guide provides a practical migration roadmap from CaptainBiz to Tally Prime, covering data export, master setup, and opening balance configuration.
1. When to Consider Migrating to Tally Prime
CaptainBiz serves invoicing and basic GST compliance well. Consider migrating to Tally Prime when:
- Your business requires detailed inventory tracking with godown-wise stock levels.
- You need TDS/TCS management for compliance with Sections 194C, 194-O, or 206C.
- You want network server access for your accounts team.
- You need cost centre analysis for project-wise or department-wise profitability reporting.
2. Exporting Data from CaptainBiz
Step 1: Export Party Masters
In CaptainBiz, navigate to Contacts → Export to download the customer and supplier list as Excel. The export includes party name, GSTIN, address, and contact details.
Step 2: Export Products/Items
Go to Products → Export to download the product master list. This includes item name, HSN code, unit of measure, and applicable GST rate.
Step 3: Generate Opening Balance Report
Generate the Trial Balance or Ledger Summary from CaptainBiz as of your migration date. This becomes the source for entering opening balances in Tally Prime.
3. Setting Up Tally Prime
- Create a new Tally Prime company with the appropriate financial year and GST details.
- Import the transformed party master XML using Gateway of Tally → Import → Masters.
- Import the stock item master XML similarly.
- Enter opening balances for all ledgers using the CaptainBiz trial balance as reference.
- Configure GST tax rates for each stock item and service in Tally as per CaptainBiz's settings.
4. Validation After Migration
- Match the Tally Trial Balance with the CaptainBiz trial balance — closing totals must agree.
- Test a sample GSTR-1 generation in Tally to ensure GST rates and HSN codes are correctly mapped.
- Verify the top 10 party ledger balances (customers and vendors) individually.
- Check closing stock quantities in Tally against the CaptainBiz stock summary.
