This guide provides a structured migration plan to move your Busy ERP accounting records to Tally Prime.
1. Pre-Migration Preparation
- Take a full backup of your Busy ERP database before starting the migration.
- Determine your migration start date — typically the beginning of a new financial year (April 1) or the first day of a new quarter.
- Generate and print key reports from Busy as of the migration date: Trial Balance, Ledger List, Stock Item List, and Outstanding Bills.
2. Exporting Master Data from Busy
Step 1: Export Ledger Masters
In Busy ERP, go to Administration → Data Export → Accounts Master. Export in PDF format. The export includes ledger names, group classification, GSTIN, and address.
Step 2: Export Stock Masters
Go to Administration → Data Export → Item Master. Export includes item names, HSN codes, units, and GST rates.
Step 3: Transform to Tally XML
Use a migration tool or Excel VBA script to transform the Busy exports to Tally's XML import schema. Map Busy group names to their equivalent Tally groups (e.g., Busy's "Sundry Debtors" → Tally's "Sundry Debtors").
3. Setting Up the Tally Prime Company
- Create a new company in Tally Prime with the correct financial year start date.
- Configure GST details: GSTIN, state, registration type, and e-invoicing thresholds.
- Import ledger masters via Gateway of Tally → Import → Masters using the prepared XML file.
- Import stock items similarly.
4. Entering Opening Balances
Enter opening balances for all ledgers using the Trial Balance from Busy as of the migration date:
In Tally Prime, go to Gateway of Tally → Alter → Ledger. For each ledger, enter the opening balance in the Opening Balance field. Set debit/credit as appropriate. For outstanding bills, use Bill-wise Details to enter individual invoice references.
5. Post-Migration Validation
- Generate a Trial Balance in Tally Prime and compare it with the Busy Trial Balance — all totals should match.
- Verify top 20 ledger closing balances individually.
- Check stock closing quantities match between Busy and Tally.
- Run a sample GSTR-1 and GSTR-3B to ensure GST configuration is correct.
