How to Import Receipt Vouchers from Excel to Tally Prime

June 27, 20266 min readAkib Husain

In business accounting, receipt vouchers (`F6`) document all cash and bank inflows, primarily customer outstanding settlements, capital injections, or loan receipts. If your business receives hundreds of payments daily via multiple payment gateways or bank channels, entering each receipt manually in Tally Prime is a bottleneck. Bulk importing them from an Excel registry resolves this.

Required Excel Columns for Receipt Entries

To ensure Tally assigns the debit and credit legs of receipts correctly, structure your Excel template with these headers:

Column NameFormatDescriptionExample Value
DateDD-MM-YYYYDate the payment was received08-04-2026
Receipt NoAlphanumericUnique receipt voucher numberREC/2026/0012
Customer NameTextExact customer ledger name in TallyAcme Retailers
Amount ReceivedDecimalNet amount received in bank/cash18500.00
Bank / Cash LedgerTextExact bank or cash ledger name in TallyHDFC Current Account
NarrationTextTransaction reference descriptionBeing payment received via NEFT

Bill-wise Mappings & Reconciliation

If your customer ledgers have **Bill-wise details** enabled, Tally requires you to link the receipt to a specific invoice:

  • Against Reference (Agst Ref): Select this and specify the invoice number to settle an outstanding bill.
  • On Account: Select this if the customer paid without referencing a specific bill, or if it is a lumpsum payment.
  • Advance: Select this if the payment is an advance booking fee for future sales.

Note: If you do not map the bill-wise reference details in Excel, Tally will default the receipt allocation to "On Account", which leaves past bills marked as unpaid in your accounts receivable reports.
