Zoho Books is a popular cloud accounting software in India. However, as business scale increases, many enterprises and Chartered Accountants choose to migrate to Tally Prime due to its robust offline capability, high transaction volume handling, extensive keyboard shortcut speeds, and auditing simplicity.
Unlike QuickBooks, Zoho Books is still active and fully updated with Indian GST standards. However, migrating data from Zoho to Tally Prime presents unique hurdles—particularly around inventory tax codes, monthly journal balances, and invoice sequencing. This tutorial details the systematic approach to execute this migration smoothly.
Step 1: Exporting Masters & Transactions from Zoho Books
Zoho Books allows exporting data directly from individual modules. Navigating to each module and exporting files as Excel/CSV is the first step:
- Contacts: Go to Contacts > Hamburger Icon > Export Contacts. Select all fields, including GST Registration Type, GSTIN, billing address, and opening balances.
- Items: Go to Items > Hamburger Icon > Export Items. Make sure to download HSN/SAC codes, Purchase Rate, Sales Rate, and Inventory Asset accounts.
- Chart of Accounts: Go to Accountant > Chart of Accounts > Export Chart of Accounts. This provides the list of all customized ledgers.
- Journals: Navigate to Accountant > Manual Journals > Export Journals. Download YTD journals to capture adjustments.
Step 2: Handling Inventory Differences between Zoho and Tally
Zoho Books calculates inventory cost using the FIFO (First In First Out) method automatically. Tally Prime supports various valuation models (FIFO, LIFO, Weighted Average, Monthly Average).
During the item master import, you must configure Tally Prime to match Zoho's valuation settings. Ensure that the Valuation Method column in your Tally Excel import sheet is explicitly set to FIFO. Otherwise, Tally will default to Average Cost, which will lead to opening stock value discrepancies.
Step 3: Preparing and Importing Customer and Vendor Masters
Zoho Books stores customer and vendor data under a unified "Contacts" list, distinguishing them via contact type parameters. Tally Prime keeps separate directories: customers belong to the Sundry Debtors group, and vendors belong to the Sundry Creditors group.
You must split your exported Zoho Contacts file into two spreadsheets based on the contact type field before preparing the import template:
- Create a Debtors sheet containing all contacts where the type is "Customer" or "Customer and Vendor".
- Create a Creditors sheet containing all contacts where the type is "Vendor".
- Format customer/vendor GSTINs to remove spaces or dashes. Ensure that state names exactly match Tally Prime's standard list (e.g. "Maharashtra", "Delhi").
- Import these sheets in Tally Prime via Import > Masters > Excel. Check

Step 4: Executing Bulk Journal Sync for YTD Balances
If you are migrating mid-financial year, importing thousands of individual sales and purchase vouchers can be tedious. The recommended practice is to:
- Import all Customer and Vendor masters.
- Export month-wise ledger balances or manual journals from Zoho Books.
- Import these as monthly summary Journal Vouchers in Tally Prime to establish chronological YTD accounts.
- Ensure that tax ledgers (CGST, SGST, IGST) are adjusted precisely so they reconcile with your submitted GSTR-3B filings.
Step 5: Validating Post-Migration Ledger Integrity
Reconcile these elements immediately to sign off on the data transfer:
- Trial Balance: Compare the closing Trial Balance in Zoho Books with the newly imported Trial Balance in Tally Prime. The totals must match exactly.
- Debtors and Creditors Ageing: Generate aging reports in both systems and confirm that the bill-wise outstanding balances match.
- GST Ledger Reconciliation: Crosscheck input tax credit (ITC) ledger balances with your GSTR-2B summary to prevent future tax compliance mismatches.
