While several cloud accounting alternatives emerged, Tally Prime remains the gold standard for compliance, audit trails, and bulk data management in India.
However, migrating database systems with completely different schemas—like QuickBooks' flat-file account architecture and Tally's rigid hierarchical Group-Ledger structure—requires a meticulous, structured approach. A single mapping error can result in mismatched trial balances and incorrect tax audits. Here is a step-by-step checklist to migrate your data securely.
Phase 1: QuickBooks Data Export Checklist
Before your QuickBooks subscription is deactivated or before you freeze transactions, you must export your historical records in Excel or CSV formats. Make sure to download:
- Chart of Accounts (COA): A complete list of all active and inactive ledgers, bank accounts, and credit cards.
- Customer and Vendor Contact Details: Name, billing/shipping address, state codes, and GSTIN/PAN details.
- Inventory Item List: Item names, SKUs, HSN codes, UOMs (Units of Measure), and current tax rates.
- Trial Balance: For the preceding financial year and the current year-to-date (YTD) to verify beginning balances.
- General Ledger (GL) Report: Detailed transaction ledger lines for the required historical periods.
Phase 2: Mapping QuickBooks Accounts to Tally Groups
