Bank Reconciliation Statement (BRS) is one of the most fundamental and legally essential accounting tasks. Every business with a current account must verify at least monthly that the bank balance in their Tally Prime books exactly matches the closing balance on their bank statement. When these two numbers differ, it indicates unrecorded transactions, timing differences, or accounting errors.
Most banks deliver monthly statements in PDF format via email, which creates a challenge for accountants: TallyPrime does not natively read PDF files. This guide provides the complete workflow to bridge this gap — from decrypting password-protected PDFs to importing transaction data into Tally's BRS module.
Why Tally Prime Cannot Import PDFs Directly
TallyPrime's import engine is designed for structured data. It accepts Excel (.xlsx), CSV (.csv), and XML formats because these formats have clearly defined column positions for date, description, debit, and credit values.
PDF files, on the other hand, store content as positioned text elements — not as structured tables with column headers. The same bank's PDF statement format can differ between months, making it impossible for Tally to parse PDFs natively without an external parsing layer.
Step 1: Unlock Password-Protected Bank Statement PDFs
Most banks encrypt their email-delivered PDF statements with a password. Before you can process the PDF, you must remove this encryption. The easiest method uses only your web browser:
- Right-click the PDF file and select Open With → Google Chrome.
- Enter your bank statement password when prompted.
- Press Ctrl+P to open the print dialog.
- Set the destination to Save as PDF.
- Click Save. The new PDF will have no password protection.
Common bank statement password formats:
- HDFC: First 4 letters of name + Date of Birth (DDMMYYYY)
- SBI: First 5 letters of name + Last 5 digits of account number
- ICICI: Full account number (no spaces)
- Axis: Customer ID (found on debit card or passbook)
Step 2: Convert PDF to Excel Format
Once unlocked, convert the PDF statement to Excel using one of these methods:
- Adobe Acrobat: Open the PDF → File → Export To → Spreadsheet → Microsoft Excel Workbook.
- Online converter: Tools like Smallpdf, IlovePDF, or PDF2Excel can convert PDF tables to Excel. Use only for non-sensitive statements.
- Download directly from Net Banking: For HDFC, ICICI, SBI, Axis, and Kotak, you can download statements in Excel/CSV format directly from Net Banking, bypassing the PDF entirely.
Step 3: Map Columns for TallyPrime BRS Import
TallyPrime's Bank Reconciliation module requires specific columns in your Excel file. The standard required columns are:

- Matching the transaction amount exactly.
- Comparing the transaction date (within a configurable window).
- Matching keywords in the narration/description field.
Matched transactions are marked as "Reconciled." Unmatched entries appear in a pending queue for manual review. For each unmatched entry, you must either:
- Create a new contra/receipt/payment voucher in Tally for the missing transaction, or
- Mark the entry as "In Transit" (for cheques issued but not yet cleared), or
- Flag it as an error for investigation.
