Auto-Import Bank Statements to TallyPrime: BRS Guide (2026)

Bank Reconciliation Statement (BRS) is a mandatory month-end process for every business. It verifies that your Tally cash book matches the actual bank account balance — accounting for outstanding cheques, direct deposits, bank charges, and interest credits. Doing this manually (comparing rows in a PDF bank statement against Tally vouchers one by one) wastes hours of your accountant's time every month.

TallyPrime's auto-import and auto-reconciliation module dramatically reduces BRS time from hours to minutes. This guide covers the complete workflow — from configuring your bank ledger to running the reconciliation — for all major Indian banks including ICICI (Connected Banking API), HDFC, Axis, and Kotak.

Step 1: Configure Your Bank Ledger for Auto-Reconciliation

Before importing any statement, enable the auto-BRS feature on your bank account ledger in TallyPrime:

  1. Go to Gateway of Tally → Alter → Ledger and select your bank account ledger (it must be under the Bank Accounts group).
  2. In the Ledger Alteration screen, scroll to the Bank Details section. Set Enable Auto Bank Reconciliation to Yes.
  3. Fill in your bank account details: Bank Name, Account Number, IFS Code (IFSC), and Account Type (Current / Savings). These details are used for matching and for the ICICI Connected Banking API authentication.
  4. Optionally, set Set/Alter Auto Fit Statement Path to Yes and specify the default folder path where you save your downloaded bank statement files. This saves you from browsing to the file each time.
  5. Press Ctrl+A to save the ledger.

Step 2: ICICI Connected Banking — Direct API Integration

ICICI Bank's Connected Banking integration is the most seamless option available in TallyPrime. Unlike other banks where you download a file and import it manually, ICICI Connected Banking creates a direct API connection between your ICICI Current Account and TallyPrime — enabling automatic statement pulls.

  1. Register on ICICI Connected Banking Portal: Log in to ICICI Net Banking → Corporate Banking → Connected Banking. Register your business account and generate an API access token.
  2. Link in TallyPrime: Go to Gateway of Tally → Banking → Connected Banking → Activate. Enter your ICICI merchant credentials and the API token. TallyPrime will establish the secure connection.
  3. Auto-Fetch Transactions: Once linked, go to Banking → Bank Reconciliation → your ICICI ledger. Press Alt+B: Fetch Bank Statement. TallyPrime calls the ICICI API in real time and downloads all transactions from the last reconciled date to today — no file download required.
  4. Run Auto-Reconciliation: After fetching, press Alt+R: Auto Reconcile. Tally matches fetched transactions against your Payment, Receipt, and Contra vouchers automatically.

Step 3: HDFC, Axis, and Kotak — Excel Statement Import

For banks without a direct Connected Banking API, you download your statement in PDF format and import it into TallyPrime manually. Here is the bank-specific download guide:

Once you have the Excel file, import it into TallyPrime by following the BRS auto-reconciliation module steps below.

Step 4: BRS Auto-Reconciliation Module — Full Walkthrough

The full bank reconciliation workflow in TallyPrime follows these steps:

  1. Open Bank Reconciliation: Gateway of Tally → Banking → Bank Reconciliation. Select the bank ledger you configured in Step 1.
  2. Import Bank Statement: Press Alt+O: Import → Bank Statement. A file browser opens. Navigate to your downloaded Excel file and select it.
  3. Map Columns: TallyPrime displays a column mapping screen. Map your Excel columns to Tally fields:
    • Date → Value Date or Transaction Date
    • Description / Particulars → Narration
    • Cheque / Reference No. → Instrument Number
    • Debit Amount → Withdrawal
    • Credit Amount → Deposit
    Save the mapping — TallyPrime remembers it for future imports from the same bank.
  4. Execute Auto Reconcile: Press Alt+R: Auto Reconcile. TallyPrime matches each imported bank row against F5 Payment, F6 Receipt, and F4 Contra vouchers using amount and instrument number. Matched rows are cleared; unmatched rows remain in the pending list.
  5. Review Matched Transactions: Scroll through the matched section. For each matched pair, TallyPrime automatically records the Bank Date (clearing date) on the Tally voucher. Press Ctrl+A to accept all matches and save.
  6. Handle Unmatched Bank Transactions: Unmatched rows (bank charges, interest earned, ECS debits not yet in Tally) appear at the bottom of the BRS screen. For each:
    • Select the row and press Alt+C: Create Voucher to record a new Tally entry against that bank transaction
    • Map to the appropriate ledger (Bank Charges, Interest Income, etc.) and press Ctrl+A to save
  7. Handle Unmatched Tally Vouchers: Tally vouchers with no matching bank row represent outstanding cheques or deposits-in-transit. These remain in the BRS as timing differences and will auto-reconcile when the bank clears them (i.e., they appear in the next statement download).

Handling Duplicate Imports

A common concern is importing the same period's bank statement twice. TallyPrime prevents this through its duplicate detection logic:

  • Transactions already reconciled (matched and accepted) are flagged and skipped in subsequent imports of the same file or overlapping date range.
  • Transactions from a previous import that are still unmatched will be compared again — TallyPrime does not create a second copy, it simply re-presents them for matching.
  • If you import an overlapping date range (e.g., you already imported 1–15 July and now import 1–31 July), Tally deduplicates by transaction reference number and amount, so only the new 16–31 July rows are presented as new entries.

Best practice: always download statements for a non-overlapping period starting from the day after your last import, and verify the opening balance in the statement matches your Tally closing balance from the prior period.
