Multi-Bank Account Reconciliation: Corporate BRS Guide
Multi-Bank Account Reconciliation: Corporate BRS Guide
Manage multiple current accounts, reconcile inter-bank transfers, track virtual account pools, and configure contra vouchers in Tally.
Who is this for: Bank Reconciliation
As corporate operations expand, businesses open multiple bank current accounts to manage regional receipts, payroll, and statutory tax payments. However, having accounts scattered across several banks adds reconciliation complexity.
Establishing a centralized **multi-bank reconciliation statement** protocol is essential to track funds and manage treasury liquidity.
1. Challenges of Multi-Bank Reconciliations
Corporate finance departments face several challenges when managing multiple bank accounts:
- Inconsistent Statements: Different banks use different file formats (CSV, PDF, MT940) and transaction narrations, making automated parsing difficult.
- Inter-Bank Transit Times: Fund transfers between banks can take hours, resulting in temporary balance discrepancies u/s year-end reports.
- Liquidity Fragmentation: Fragmented balances across different accounts can hide your actual cash positions.
2. Virtual Account Reconciliations for Inward Collections
To simplify tracking incoming client deposits, enterprise companies set up **Virtual Accounts**. The company maps a unique virtual bank account number (e.g. `XCORPAXIS09028`) to each corporate customer.
When a customer makes an NEFT or IMPS payment to their assigned virtual account, the funds are deposited into the company's main master bank account. The bank statement includes the virtual account number as the transaction reference, allowing automated matching systems to identify the paying customer and clear their outstanding invoices automatically.
3. Reconciling Inter-Bank Transfers (Contra Vouchers)
To prevent double-counting deposits during bank transfers, treasury teams use an inter-bank clearing ledger to record transactions in transit:
| Transfer Phase | Accounting Entry | BRS Presentation |
|---|---|---|
| Phase 1: Fund Initiation | Debit Inter-Bank Clearing; Credit Source Bank | Outstanding withdrawal in source bank BRS |
| Phase 2: Fund Transit | Balances remain in clearing ledger | No bank balance change; tracked in transit accounts |
| Phase 3: Fund Receipt | Debit Destination Bank; Credit Inter-Bank Clearing | Marked as cleared in destination bank BRS |
4. Liquidity Sweeping and Cash Pooling Rules
Large corporate groups optimize interest income and utilize excess cash using sweeping structures. Under physical sweeping setups, bank systems automatically transfer balances from regional operating accounts to a central master account at day-end.
Reconciling these transactions requires posting daily auto-sweeps as contra vouchers in Tally, verifying that net transfers balance across all sub-accounts, and managing inter-company loans and tax audits.
5. Section 185/186 Compliance on Inter-Company Sweeps
When corporate cash sweeps transfer balances between separate subsidiary or associate legal entities, the transaction represents an inter-corporate loan. Under Sections 185 and 186 of the Companies Act, 2013, such sweeps must comply with strict rules.
Companies must charge interest at rates not lower than the prevailing government security yields, pass board resolutions, and disclose details in financial notes. Statutory auditors verify that daily sweeps are backed by these legal agreements.
6. Case Study: Recording a ₹5 Lakh Inter-Bank Transfer
On April 20, 2026, a company transfers **₹5,00,000** from its Axis current account to its HDFC current account to fund payroll. The transfer is initiated at 4:30 PM but is only credited to the HDFC account on the morning of April 21.
The corresponding journal entries required to record this inter-bank transit sequence are:
Entry 1: Fund Initiation from Axis (April 20, 2026) Debit: Inter-Bank Clearing Ledger ₹5,00,000 Credit: Axis Bank Current Account ₹5,00,000 Entry 2: Fund Receipt at HDFC (April 21, 2026) Debit: HDFC Bank Current Account ₹5,00,000 Credit: Inter-Bank Clearing Ledger ₹5,00,000
7. Enforcing Contra Entries in Tally Prime
To manage inter-bank transfers natively in Tally:
Tally Contra Voucher Setup:
Go to **Gateway of Tally > Vouchers > Press F4 (Contra)**. Debit the destination bank ledger and credit the source bank ledger.
When saving, Tally will prompt you for deposit details (such as transfer type and bank reference number), which are saved in the BRS dashboard for future reconciliations.
