How to Record IndiaMart Leads and Sales in Tally Prime
SOP for managing IndiaMart membership fees, booking B2B sales orders, recording advance payments, and ensuring GST compliance.
Who is this for: E-commerce Accounting
IndiaMart is India's largest B2B marketplace, connecting millions of buyers and suppliers. For manufacturers and wholesalers, IndiaMart generates leads that convert into confirmed purchase orders, making accurate accounting critical.
This guide covers how to set up Tally Prime for recording IndiaMart-sourced sales, subscription expenses, and advance payment management.
1. Setting Up IndiaMart Expense Ledgers
IndiaMart charges annual or quarterly subscription fees for lead packages and premium listings. These must be properly booked as marketing expenses:
- Create "IndiaMart Subscription Fees" under Indirect Expenses → Advertisement & Marketing.
- Set GST applicable to Yes — IndiaMart charges 18% GST on subscription plans.
- Record the invoice as a Purchase Voucher (F9) or Journal entry when the subscription is renewed.
2. Recording B2B Sales from IndiaMart Leads
When a lead converts to a confirmed order, the accounting steps are:
Step 1: Create a Quotation (Optional)
In Tally Prime, use Sales Order (F5 in Order mode) to record a formal quotation for the buyer. This reserves stock and tracks the pending order value.
Step 2: Record Advance Payments
B2B buyers often pay 50% advance before delivery. Record this as a Receipt Voucher:
Credit: Advance from Customers (Current Liability)
Step 3: Raise the Tax Invoice
On delivery, create a Sales Voucher (F8) with full product details and applicable GST rates. Use Tally's Bill-wise Details to link and adjust the advance already received.
3. GST Compliance for B2B IndiaMart Sales
- Verify each buyer's GSTIN using Tally's built-in GSTIN validation before raising the tax invoice.
- Apply IGST for inter-state deliveries and CGST + SGST for intra-state sales.
- E-Invoice (IRN) is mandatory for B2B transactions if your turnover exceeds ₹5 crore.
