In double-entry bookkeeping, you frequently encounter transactions that affect multiple ledger accounts. For example, a monthly office rent payment of Rs. 59,000 might need to be split into two lines: Rs. 50,000 to the Office Rent Expense ledger, and Rs. 9,000 to the Input CGST & SGST tax ledgers.
Similarly, a single bank utility bill debit of Rs. 15,000 may need to be split across different departments or cost centers. This guide details how to perform these splits manually in Tally Prime and how to automate the allocation.
Manual Method 1: Using Double-Entry Modes in Vouchers
To split a payment or purchase voucher in Tally Prime manually:
- Go to Gateway of Tally > Vouchers > Press F5 for Payment (or F9 for Purchase).
- If your voucher is in "Single Entry Mode", change it immediately. Click Change Mode on the right panel (or press Ctrl + H) and select Double Entry.
- In the first debit row (Dr), select your primary expense ledger (e.g.
Office Rent Expense) and enter the net base value (e.g. 50000). - Press Enter to open a new row. Tally will automatically create another debit row (Dr). Select your tax ledger (e.g.
Input CGST) and enter its value. - Create another debit row (Dr) for
Input SGST. - In the credit row (Cr), select your bank account ledger. Tally will automatically sum all the debit lines and populate the total amount (e.g. 59000).
- Press Enter to save the voucher.
Manual Method 2: Allocating via Cost Centers
If you want to track which departments (e.g. Sales, HR, Admin) incurred the expense without creating separate ledgers:
- Enable Cost Centers in Tally Prime startup settings (F11 > Enable Cost Centers = Yes).
- When posting the expense voucher, Tally will open a sub-allocation window immediately after you enter the ledger amount.
- Select the respective cost centers and specify the split amount or percentage for each center.
