Stock Item Creation & Inventory Entry in TallyPrime: Complete Guide
Stock Item Creation & Inventory Entry in TallyPrime: Complete Guide
Learn how to create stock items, units of measure, groups, and record inventory transactions in TallyPrime. Complete step-by-step master guide.
Who is this for: Step-by-Step Tutorial
Managing inventory is one of the most critical functions for trading, distribution, and manufacturing businesses. In TallyPrime, robust inventory tracking enables you to calculate accurate cost of goods sold (COGS), monitor gross profits, manage warehouse stock distributions, and file statutory reports like GSTR-1 and GSTR-3B with correct HSN-wise details.
To maintain an accurate stock register, you must configure Tally's core inventory masters: Stock Groups, Units of Measure (UoM), and Stock Items. This comprehensive step-by-step guide explains how to set up these components, record inventory adjustments, and leverage automated tools to streamline stock journal processes.
Understanding Tally's Inventory Hierarchy
Before creating items in the software, it is vital to understand how TallyPrime structures inventory data:
- Units of Measure (UoM): The physical metrics used to quantify your products (e.g., Kgs, Liters, Metres, Boxes, or Numbers).
- Stock Groups: Categories used to classify similar items for organized reporting (e.g., Electronics, Raw Materials, or Finished Goods).
- Stock Categories: Parallel classifications used to group items sharing specific attributes across different groups (e.g., Brand Name or Size).
- Stock Items: The actual products or SKUs you purchase, store, and sell (e.g., Lenovo ThinkPad X1 or Stainless Steel Rod 10mm).
Step 1: Set Up Units of Measure (UoM)
You cannot create a stock item without assigning it a Unit of Measure. TallyPrime supports two types of units: Simple and Compound.
Creating a Simple Unit
- Navigate to Gateway of Tally > Create > Unit.
- Set the Type field to Simple.
- Enter the Symbol (e.g.,
PCS,KGS, orBOX). - Enter the Formal Name (e.g.,
Pieces,Kilograms, orBoxes). - Define the Number of Decimal Places (e.g.,
2for fractional measurements like 1.5 Kgs, or0for distinct units like Pieces). - Select the correct Unit Quantity Code (UQC) from the dropdown list. This step is mandatory for electronic filing of GST returns.
- Press Ctrl+A to save.
Creating a Compound Unit
A compound unit represents a relationship between two simple units (e.g., Box of 12 Nos). To create a compound unit:
- On the Unit Creation screen, change the Type to Compound (press Backspace inside the Type field).
- Select the First Unit (e.g.,
BOX). - Enter the Conversion Factor (e.g.,
12). - Select the Second Unit (e.g.,
PCS). This tells Tally that 1 Box is equal to 12 Pieces. Save the screen.
Step 2: Create a Stock Group
Stock groups consolidate items for valuation and tax configurations. If multiple items share the same GST rate, you can configure tax parameters at the Stock Group level instead of defining them for each item:
- Go to Gateway of Tally > Create > Stock Group.
- Enter the group name (e.g., Office Furniture).
- Set the Under field to Primary.
- Set Should quantities of items be added? to Yes (this allows you to see the aggregate quantity of all items in this group in report views).
- If you want to apply uniform GST rates, set Set/Alter GST Details to Yes and specify the HSN and tax percentages. Save the screen.
Step 3: Create the Stock Item
Now, define the individual stock items that will be referenced in purchase bills and sales invoices:
1. Navigate and Name
Go to Gateway of Tally > Create > Stock Item. Enter the product name and optional aliases/part numbers.
2. Classify and Units
In the Under field, select the appropriate Stock Group. In the Units field, select the primary Unit of Measure (e.g., PCS).
3. Statutory GST Setup
Set GST Applicable to Applicable. Under HSN/SAC & Related Details, choose Specify Details Here. Enter the 8-digit HSN code and description. Under GST Rate Details, choose Specify Details Here, select Taxability as Taxable, and input the Integrated Tax (IGST) rate (e.g., 18%). State Tax (SGST) and Central Tax (CGST) will automatically calculate as 9% each.
4. Valuation & Opening Balance
Define the valuation method (default is FIFO). If you have existing inventory, enter the Opening Balance by specifying the quantity, godown (warehouse) location, and rate per unit. Press Ctrl+A to save.
Recording Stock Journals (Warehouse Transfers)
A Stock Journal (Alt+F7) is a special voucher used to adjust inventory or transfer stock between godowns without generating monetary transactions.
The Stock Journal screen is split into two halves:
- Source (Consumption): Specify the items, warehouse location, quantity, and cost rate of items being moved out of a location.
- Destination (Production): Specify the same items, the target warehouse location, and the incoming quantities.
This is crucial for retail businesses transferring stock from central distribution hubs to regional outlets.
Adjusting Physical Stock Discrepancies
Over time, physical inventory counts may differ from the numbers recorded in Tally due to loss, damage, or bookkeeping errors. To reconcile these balances:
- Go to Gateway of Tally > Vouchers.
- Press Ctrl+F10 (Other Vouchers) and select Physical Stock.
- Select the item and godown where the discrepancy exists.
- Enter the actual Physical Quantity counted on the floor.
- Save the voucher. Tally will automatically pass adjustment entries to match the ledger balances with physical reality.
Automate Stock Matching and Entry with TrulyInvoice
Manually entering stock items during purchase voucher creation is a massive drain on operational efficiency. If your vendors use different item descriptions or part numbers than your internal database, your staff must manually translate every line item. A simple typo will lead to incorrect stock levels, wrong tax filings, and distorted gross margins.
TrulyInvoice solves this problem with intelligent item mapping. When you upload a supplier's purchase bill:
- TrulyInvoice extracts all line items, HSN codes, quantities, and rates using advanced OCR and AI.
- It checks if the item exists in Tally. If the supplier's description differs slightly (e.g., "ThinkPad X1 Carbon" vs "Lenovo ThinkPad X1"), TrulyInvoice's smart mapping system automatically aligns it with your correct internal stock item.
- If the item is new, you can create it in TallyPrime directly from TrulyInvoice in one click, complete with correct HSN and tax configurations.
- The final purchase entry is imported into Tally instantly, completely eliminating manual line-item entry.
