Import SBI Bank Statement to Tally Prime: Complete Guide

July 14, 202613 min readCA Rakesh Sharma

State Bank of India (SBI) is the country's largest public sector financial institution, managing accounts for millions of retail traders, distributors, and corporate entities. For accountants, Chartered Accountants (CAs), and tax practitioners in India, reconciling SBI bank ledgers in Tally is a standard monthly task. SBI statements often contain hundreds of transaction lines due to routine merchant payments, customer transfers, ATM cash withdrawals, interest credits, and salary distributions.

Manually keying in every single SBI transaction into TallyPrime is highly inefficient. It leads to data entry backlogs, increases the risk of transposition errors, and delays compliance runs. In this guide, we walk through the detailed process of downloading SBI statements, decrypting password-protected PDFs, deciphering bank narration patterns, and using manual Excel setups or review-first AI automation to sync transactions to Tally.

1. Downloading Statements from SBI Netbanking

To import statements, you must first export a clean digital copy from SBI's online portals. Using scanned paper bank statements or mobile screenshots will fail data formatting checks.

Path A: SBI Retail Internet Banking (Onlinesbi.sbi)

  1. Log in to the **OnlineSBI** Retail portal with your Username and password.
  2. On the main dashboard, go to **My Accounts & Profile > Account Statement**.
  3. Select the specific account number from which you wish to export data.
  4. Choose the statement period (by Month, Date Range, or select the specific calendar dates).
  5. Select the download format: Choose **Excel Format** if you want to prepare the spreadsheet manually, or select **PDF Format**.
  6. Click **Go** and save the downloaded file locally.

Path B: Yono Lite SBI Mobile Application

  1. Open the **Yono Lite SBI** app on your phone.
  2. Go to **My Accounts > View/Download Statement**.
  3. Select your account number.
  4. Click **Download Statement** to export the file as a PDF. Note that mobile PDF statements are encrypted by default.

2. Decrypting SBI PDF Password Formats

Statements downloaded from SBI portals (especially Yono Lite) are encrypted to protect sensitive transaction details. To open or parse the PDF statement, you must input the default password structure:

  • SBI PDF Password Formula: The password is a 9-digit alphanumeric string combining:
    1. The last 5 digits of your registered mobile number.
    2. The day and month of the primary account holder's Date of Birth in `DDMM` format.
  • Example: If your registered mobile number is `XXXXX-54321` and your date of birth is `9th November`, the password to open the file is `543210911`.

Ensure you remove the password block or use an importer tool that prompts you for the decryption password before initiating Tally synchronization.

3. Deciphering SBI Transaction Narration Codes

SBI statements use specific narration patterns to describe transactions. Knowing these helps in classifying Tally voucher types:

Narration PrefixMeaningSuggested Tally VoucherTarget Ledger / Group
UPI/CR / UPI/DRUPI Credit or DebitReceipt / PaymentSundry Debtors / Expenses
AUTO SWEEP / MODMulti-Option Deposit transferContraFixed Deposits (Current Assets)
SBI ATM WDLCash withdrawal from SBI ATMContraCash-in-Hand
CHG / MAINT CHGBank maintenance chargesPaymentBank Charges (Indirect Expenses)
NFX / NEFT / RTGSBank-to-bank electronic transferPayment / ReceiptSundry Creditors / Debtors

4. Manual Importing of SBI Excel Statements

If you downloaded your statement in Excel, you can configure manual column mappings inside TallyPrime. Follow these steps:

  1. Open the SBI Excel statement. Clean the sheet by deleting the top 10–12 rows containing metadata (such as branch codes, customer name, address, and summary balances). The first row must contain column titles: `Date`, `Description`, `Ref No.`, `Debit`, `Credit`, and `Balance`.
  2. Format date cells. Ensure dates read consistently, e.g. `14-Jul-2026`. Mismatched month formats will cause import logs to crash.
  3. In TallyPrime, go to Alt+O (Import) > Manage > Sample Templates. Create a mapping for "Transactions" matching your column layouts.
  4. Go to **Import > Transactions**, browse to the folder containing your edited SBI Excel workbook, select your SBI bank ledger, and click import.

5. Honesty Check: How TrulyInvoice Automates SBI Data Entry

TrulyInvoice is designed to eliminate manual spreadsheet formatting, Excel column mappings, and date errors. It provides a secure, review-first desktop sync tool.

To maintain transparency, here is exactly how the tool handles bank statements:

  • No Live Bank Connection: TrulyInvoice does **not** log into your SBI bank accounts or access netbanking online feeds. It does not ask for or store login credentials. You must download the statement PDF manually from SBI and upload it to the tool.
  • AI Column Parsing: TrulyInvoice parses the PDF statement and extracts columns (Date, Narration, Withdrawal, Deposit). It automatically merges multi-line descriptions.
  • Ledger Suggestion System: Based on the narration, TrulyInvoice suggests accounting groups and ledger names (e.g. suggesting Bank Charges for monthly maintenance fees).
  • Self-Serve Review: Review and adjust mappings in a grid. Correct ledger categories or batch-edit group parameters.
  • Direct Sync: Sync the reviewed entries directly to TallyPrime via a local gateway port, creating voucher logs in seconds.
  • Fast-Track Reconciliation: TrulyInvoice creates the voucher records, which means you do not have to type them. However, it does not replace Tally's built-in reconciliation checks. You must still run Tally's bank reconciliation tool to match voucher dates with actual clearing dates.

6. Summary

Reconciling your SBI account ledger in TallyPrime keeps your audit trail clean. Whether you configure manual Excel maps or use TrulyInvoice's flat-rate parser to suggest ledgers and auto-sync, auditing compliance is guaranteed with a review-first workflow. Run Tally's bank reconciliation tool to finish matching.
