Effective purchase management is one of the most operationally complex functions in any business. It spans multiple stages — raising a Purchase Order, receiving goods, verifying the supplier invoice, recording the liability, and ultimately reconciling the Input Tax Credit against the GSTR-2B portal statement. A gap or error at any one of these steps cascades into accounting mismatches, ITC losses, and supplier disputes.

Step 1: Setting Up Vendor Ledgers and Purchase Accounts
Before recording any purchase transactions, configure the core master records:
- Vendor Ledgers (Sundry Creditors): Create an individual ledger for each supplier under the Sundry Creditors group. Enable Maintain bill-by-bill to track payments against specific invoices. Set a default credit period (e.g., 30 or 45 days) to enable automated due date calculation. Enter the supplier's GSTIN so that Tally can auto-determine CGST/SGST vs. IGST tax splits based on the state code.
- Purchase Accounts: Create ledgers under the Purchase Accounts group, segregated by tax type (e.g.,
Local Purchases @ 18%,Inter-state Purchases @ 12%,Exempt Purchases). Assign the correct GST rate and HSN/SAC code to each purchase ledger. - Input Tax Ledgers: Create
Input CGST,Input SGST, andInput IGSTunder Duties & Taxes with the correct GST sub-type (Central Tax, State Tax, Integrated Tax).
Step 2: Creating Purchase Orders (Alt+F4)
A Purchase Order (PO) is a formal commitment to a supplier to purchase specific goods at agreed quantities and rates. In Tally Prime, POs are mandatory when you want to implement three-way matching and track pending deliveries.
- Press Alt+F4 from the Vouchers screen to open a Purchase Order entry form.
- Select the supplier ledger under Party A/c Name.
- In Item Invoice mode, enter each stock item with the ordered quantity, rate, and applicable GST tax class.
- Enter the Order No. and Expected Delivery Date — these fields are critical for tracking pending deliveries and generating overdue PO reports.
- Save the PO. It will now appear in Gateway of Tally → Display More Reports → Inventory Books → Purchase Order Book.
Step 3: Recording Goods Receipt and Converting PO to Purchase Voucher (F9)
When goods arrive, the warehouse team records a Goods Receipt Note (GRN) using Alt+F9 (Receipt Note). This increases stock quantities in Tally without creating a financial liability — it records the physical receipt before the invoice arrives.
When the supplier invoice arrives, press F9 to open a Purchase Voucher. Tally will prompt you to link the voucher to a pending PO or GRN. Select the relevant references to establish the three-way link. Key fields to complete:

The Supplier Invoice No. and Date fields are critical. These must exactly match what the supplier has declared in their GSTR-1. Any discrepancy in these fields will cause a mismatch during GSTR-2B reconciliation in Tally Prime.
Three-Way Matching: PO vs GRN vs Invoice
Three-way matching is the internal control mechanism that prevents overbilling and ensures you only pay for what you ordered and received. Tally Prime supports this natively:

Any quantity discrepancy between the PO, GRN, and Invoice appears in Tally's Gateway of Tally → Display More Reports → Inventory Books → Purchase Order Outstanding report, showing pending and excess deliveries by line item.
Recording Advance Payments to Vendors
Many suppliers require advance payments before dispatching goods. To record an advance in Tally Prime:
- Press F5 (Payment Voucher). Select the vendor's Sundry Creditor ledger.
- In the bill-wise details screen, select reference type Advance and enter an advance reference number (e.g.,
ADV/2026/001). - When the purchase invoice arrives and you book the F9 Purchase Voucher, use Agst Ref in the bill-wise screen to link the advance against the invoice. Tally will net off the advance, showing only the remaining payable balance.
Vendor Outstanding Aging Report in Tally Prime
The vendor aging report shows how long invoices have been outstanding — helping you manage credit periods, avoid late payment penalties, and identify vendors who are offering extended credit terms. To access it:
- Go to Gateway of Tally → Display More Reports → Statements of Accounts → Outstandings → Payables.
- Click F6: Ageing Method on the right panel.
- Select ageing basis: Bill Date or Due Date (due date is more meaningful for credit period tracking).
- Define intervals: e.g.,
0–30 days,31–60 days,61–90 days,90+ days.
The report displays each vendor's outstanding invoices categorized into the defined age buckets. Invoices in the 90+ days bucket need immediate attention — either the payment is overdue, or there is a dispute that has not been resolved.
Managing Multi-Currency Vendor Invoices
For businesses that import goods and receive invoices in USD, EUR, or other foreign currencies, Tally Prime's multi-currency feature handles exchange rate recording:
- Enable Multi-Currency in Company Features → Accounting Features.
- Create the foreign currency ledger (e.g., US Dollar) and update the exchange rate daily or use the rate on the invoice date.
- When recording the Purchase Voucher (F9), select the foreign currency and enter the invoice amount. Tally converts the amount to INR at the specified rate and records the exchange difference automatically upon settlement.
- For customs duty and freight on imports, create separate purchase ledgers or expense accounts and add them to the purchase voucher as additional cost components.
GSTR-2B ITC Reconciliation for Purchase Entries
After downloading the GSTR-2B JSON from the GST portal, Tally Prime's built-in reconciliation tool compares each invoice in your purchase register against the portal data:
- Matched invoices: Both Tally and GSTR-2B show the same invoice number, date, supplier GSTIN, and tax amounts. ITC is fully claimable.
- In books, not in GSTR-2B: Supplier has not yet filed GSTR-1. ITC cannot be claimed for this month. Chase the supplier or defer the claim.
- In GSTR-2B, not in books: Invoice was not recorded in Tally. Investigate and book the purchase voucher to capture the ITC.
- Partially matched: Tax amounts differ. Usually caused by a data entry error in the invoice number, amount, or tax rate. Correct and re-reconcile.
