How to Download GST Certificate Online: Form REG-06 Step-by-Step

Securing your official GST Registration Certificate (Form GST REG-06) is one of the first and most critical milestones after registering your business under the Goods and Services Tax (GST) laws.

This document is not only required for opening corporate bank accounts and applying for business licenses but is also subject to strict display rules under statutory tax guidelines. This static guide provides step-by-step instructions to download your GST certificate, explains its legal components, and outlines compliance requirements.

1. Statutory Obligation: Rule 18 Display Requirements

Many business owners treat the GST certificate as an offline document to be stored in physical files. However, Rule 18 of the CGST Rules mandates that every registered taxpayer must display:

  • The registration certificate (Form GST REG-06) in a prominent location at their principal place of business and at every additional place of business.
  • Their GSTIN on the nameboard at the entry of their business premises.

Failing to comply with these display rules is classified as a general breach of the GST laws. Under **Section 125**, tax inspectors can levy a penalty of **up to ₹25,000** for each non-compliant business branch.

2. Step-by-Step Certificate Download Guide

To download your GST certificate in PDF format from the official government portal, follow this walkthrough:

  1. Open your browser and navigate to the official GST Portal at **www.gst.gov.in**.
  2. Click on the **Login** button at the top right of the screen.
  3. Enter your authorized corporate **Username**, **Password**, and solve the alphanumeric captcha code. Click **Login**.
  4. On your dashboard, navigate to the top horizontal menu and click on Services > User Services > View/Download Certificates.
  5. The portal will load a table displaying the list of certificates issued to your business. Locate the line displaying Form GST REG-06.
  6. Click on the downward-pointing **Download** arrow in the final column. The certificate will download instantly as a secure PDF file.

3. Decoding Form GST REG-06: The Key Components

The downloaded REG-06 PDF is not a single sheet; it contains three distinct components that must be compiled together for legal validity:

  • Form GST REG-06 (Page 1): The master certificate sheet. It lists your GSTIN, Legal Name, Trade Name, Constitution of Business (e.g. Private Limited, Partnership), Principal Place of Business, and the Date of Liability.
  • Annexure A (Page 2): Contains details of all **Additional Places of Business** (warehouse branches, sub-offices) operating within the same state.
  • Annexure B (Page 3): Details of the proprietors, partners, or directors, including photos, designations, and residential details.

4. Amending Certificate Details: Form GST REG-14

If your business undergoes changes (such as shifting the principal office address, adding directors, or changing the brand trade name), you must apply for an amendment of registration using **Form GST REG-14** online within 15 days of the change.

For changes to *Core Fields* (like company name, partner details, or business addresses), you must upload supporting documents (such as Board Resolutions, updated Lease Agreements, or MCA Certificates of Incorporation). Once the tax officer approves the amendment, a newly revised **Form GST REG-06** is generated on the portal, which you must download and display to stay aligned with the Rule 18 signage mandates.

5. Casual Taxable Person Certificates (Section 27)

For special classes of taxpayers, such as **Casual Taxable Persons** or **Non-Resident Taxable Persons** (governed by **Section 27 of the CGST Act**), the downloaded registration certificate contains a predefined validity period.

Under the statute, these certificates remain valid for only **90 days** from the effective date of registration (or the duration specified in the registration application, whichever is shorter). If business operations must continue beyond the 90-day window, the taxpayer must submit an extension application using **Form GST REG-11** before the certificate expires. Displaying an expired registration certificate at your site is treated as a statutory violation under Rule 18.

If you are operating temporary exhibition stalls or casual businesses across multiple states, you must register as a casual taxpayer in each state individually. This requires downloading separate REG-06 certificates for each jurisdiction and displaying them on-site. Furthermore, for casual taxable persons, the portal requires the taxpayer to estimate their tax liability and deposit the tax in advance before the certificate can be generated. Failure to submit this advance tax deposit blocks the final REG-06 certificate download.

6. Downloading Without Password: TRN Login

If you are a newly registered business and have not set up your username/password, you can log in to the portal using your **TRN (Temporary Reference Number)**:

  1. Go to the portal and click **Register Now** under the taxpayers menu.
  2. Select the *Temporary Reference Number (TRN)* option.
  3. Enter your TRN and verify using the OTP sent to your registered mobile and email.
  4. Once logged in, you can download your initial REG-06 certificate from the dashboard services menu.

6. Troubleshooting Portal Download Errors

During peak filing hours, the GST portal can experience high traffic, resulting in download exceptions:

  • Blank Pages on PDF: This is a known browser rendering bug. Try downloading the file using an Incognito window or clear your browser cache.
  • Missing User Services Menu: Ensure you are logged in using the primary administrative credentials of the business. Sub-user profiles may not have the necessary permissions to download certificates.

7. Linking the GST Certificate to Tally Prime

Once downloaded, ensure your Tally Prime company configuration matches the certificate details:

  1. Go to Gateway of Tally > F11: Features > GST Details.
  2. Verify that the Legal Name and Trade Name match your REG-06 Page 1 entries.
  3. Ensure that your registered principal place address matches Tally's mailing address configuration, preventing mailing mismatches on tax invoices.

7. Checking Validity and Details on Downloaded Certificate

Once the REG-06 GST registration certificate is downloaded, verify that the legal name, constitution of business, and address match your Tally Prime ledger settings. If any details are incorrect, submit an amendment request on the portal immediately to avoid scrutiny notices during tax audits.
