How to Check GSTIN Status Online: Search Taxpayer Portal Guide

Before processing a high-value purchase order or recording a supplier payment in Tally Prime, your accounts team should always verify whether the supplier's GSTIN is active on the official GST Portal. Filing returns that reference an inactive GSTIN leads to denied ITC claims, buyer-side reconciliation errors, and potential GSTR-1 portal blocks.

The GST portal provides a free, publicly accessible Search Taxpayer tool that lets anyone — without logging in — verify the registration status of any taxpayer. This guide walks through every step of the verification process and explains how to interpret the results.

1. Decoding the 15-Digit GSTIN Structure

Before querying the portal, understanding what a GSTIN represents helps catch typos and formatting errors:

If a GSTIN provided by a supplier does not contain exactly 15 alphanumeric characters, or if the state code prefix does not match the registered office address, the GSTIN is almost certainly invalid. Reject it before entering it into Tally Prime to prevent downstream compliance issues.

The portal's public search tool requires no account:

  1. Open a browser and navigate to www.gst.gov.in.

  6. The portal displays the taxpayer's profile including: Legal Name, Trade Name, Business Type, Registration Date, and most importantly — the GSTIN Status.

3. Interpreting GSTIN Status: Active, Suspended, and Cancelled

The portal returns one of three statuses:

  • Active: The taxpayer's registration is fully valid. You can safely conduct B2B transactions and issue tax invoices charging CGST/SGST or IGST. The buyer can claim ITC.
  • Suspended (Rule 21A): A temporary hold has been placed on the registration. The taxpayer cannot file returns or issue tax invoices while suspended. Any purchase from a suspended supplier carries ITC risk. However, suspension can be reversed — always check again after 30 days, as many taxpayers resolve filing defaults quickly.
  • Cancelled: The registration has been permanently revoked. No valid tax invoice can be issued by this entity, and no ITC can be claimed on transactions with them. A canceled GSTIN cannot be used for any GST-related compliance.

4. Searching by Trade Name or Legal Name

If you do not have a GSTIN but know the company name, the portal's Search Taxpayer by Name option allows lookup by state and business name. This is useful when:

  • A new vendor provides a purchase invoice with a handwritten GSTIN that is difficult to read.
  • You need to verify if a company has multiple GSTIN registrations across states (each state registration will appear as a separate record).
  • Your team suspects a fraudulent invoice and wants to confirm whether the legal entity actually exists as a GST registrant.

  • If the supplier's latest GSTR-1 was filed 4 months ago, their invoices will not appear in your GSTR-2B, blocking your ITC claims even if their GSTIN shows as "Active".
  • Suppliers who file GSTR-1 consistently on the 11th of every month are reliable counterparties for large B2B purchase orders.

6. Common Errors When Verifying a GSTIN

When checking GSTIN statuses manually on the portal, teams frequently make the following mistakes that lead to incorrect compliance decisions:

  • Checking the wrong GSTIN: Some businesses register in multiple states, and each state registration has a different 15-digit GSTIN. Verifying one state's GSTIN as active does not confirm the registration status for the state in which a specific transaction occurred. Always check the GSTIN that matches the registered state on the invoice.
  • Confusing the Legal Name and Trade Name: The GST portal displays both the Legal Name (as per PAN/MCA registration) and the Trade Name (business brand name). Some buyers reject invoices when the trade name shown on the invoice differs from the portal's legal name. Understand that the legal name governs GST compliance, not the trade name.
  • Ignoring the effective date: A GSTIN showing as Active today may have only become active after the invoice date in question. In dispute cases, always check the Date of Registration against the invoice date to confirm the GSTIN was valid at the time of the transaction.
